The solution

Based on Power Platform (Power Apps and Power Automate), we built an application that takes planned projects through the approval process in several steps, from draft status to implementation. At each step, an email notification is sent to the person who has to deal with the request in the next step, and the project owner can see where the project is at all times. Built-in reminders and a My Tasks screen on the app's home page help ensure that no one can fall behind on a project out of sheer forgetfulness.

Another important aspect was:

• each employee sees only the data, screens and buttons appropriate to their role
• be accessible from anywhere, which the Power Platform can do by default
• brings the security of Azure AD
• use the company's existing Office 365 environment and services as organically as possible Exchange Online mailing for notifications

End result:

The solution ensures that only projects that have all the calculations and approvals in place can go ahead. All equipment has all the necessary permits at the moment of its launch. All the documents and permits for your projects are available in one place, directly from the project data sheet with a single click.

Waiting times between project steps have been significantly reduced by ensuring that everyone is notified immediately when they need to do something. The project history shows exactly when, by whom and what was done. The solution also supports project - sub-project management, which was previously unthinkable. Project managers' lives have also been simplified: they can work according to precise rules; they can see where their needs are at all times, and who needs to be alerted if necessary. In the first year of use, more than 200 projects worth over €14 000 000 passed through the system.
